Your Right to Erasure: You have the right to request deletion of your personal data from Vaquill AI. This right is guaranteed under the General Data Protection Regulation (GDPR), the California Consumer Privacy Act (CCPA), and other applicable data protection laws.

1. How to Request Data Deletion

To request deletion of your personal data, send an email to contact@vaquill.ai with the subject line “Data Deletion Request” and include:

  1. Your registered email address
  2. Your full name as it appears on your account
  3. Whether you want full account deletion (everything removed) or selective deletion (specific data only)
  4. If selective: specify what you want deleted (e.g., uploaded documents, research history, matter workspaces, WhatsApp conversation history)

2. What Data We Can Delete

Upon receiving your request, we will delete the following data associated with your account:

3. What We Are Required to Retain

Certain data must be retained for legal, regulatory, or legitimate business purposes even after a deletion request:

  • Billing and payment records: Transaction history and invoices must be retained for up to 7 years under applicable tax regulations.
  • Legal compliance records: Data required to comply with court orders, legal proceedings, or regulatory investigations.
  • Anonymized analytics: Aggregated, non-identifiable usage statistics (e.g., total searches processed) that cannot be traced back to you.
  • Communication records: Support tickets and correspondence related to disputes or complaints, as required by applicable consumer protection laws.

4. WhatsApp Bot Data

If you have used the Vaquill AI WhatsApp bot, the following additional data may be stored:

  • Your WhatsApp phone number
  • Messages exchanged with the bot (legal queries, search requests)
  • Any documents or images shared via WhatsApp

All WhatsApp data is deleted as part of a full account deletion request. If you only want WhatsApp data deleted, specify this in your request.

5. Processing Timeline

  • Acknowledgement: Within 48 hours of receiving your request
  • Identity verification: We may ask you to verify your identity from your registered email address
  • Data deletion: Completed within 7 business days of verification
  • Confirmation: You will receive a confirmation email once deletion is complete
  • Backup purge: Data in encrypted backups is purged within 30 days of deletion

6. Team and Organization Accounts

If your account is part of a team or organization:

  • Individual members: You can request deletion of your personal data. Shared workspace data (matters, documents uploaded by you to shared workspaces) may be retained for other team members unless the workspace owner also requests deletion.
  • Organization admins/owners: You can request deletion of the entire organization's data, including all team members' data, workspaces, and documents.
  • We will notify affected team members before deleting shared data.

7. Consequences of Data Deletion

Please be aware that data deletion is permanent and irreversible. After deletion:

  • Your account will be deactivated and you will not be able to log in
  • All uploaded documents, research history, and AI memories will be permanently removed
  • Active subscriptions will be canceled (no further charges)
  • API keys will be revoked immediately
  • You may create a new account with the same email, but no previous data will be available

8. How to Delete Data Without Deleting Your Account

If you want to keep your account but delete specific data, you can do so directly from the app:

  • Documents: Delete individual files from your document library
  • Research threads: Delete conversations from your chat history
  • AI Memories: Go to Settings → Memories and delete individual memories or clear all
  • Matters: Delete individual matters from your workspace
  • API keys: Revoke keys from Settings → API
